Lock notebooks and whiteboards with Password Protection

In the current Goodnotes app, Password Protection lets you lock sensitive notebooks and whiteboards on Apple devices. Goodnotes uses one universal, case-sensitive password for every locked document in your account.

Before you add a lock

• Available on Apple devices; locked status does not transfer to GoodNotes 5, Android, Windows, or Web.
• One password protects all locked documents.
• Folders cannot be locked.
• A locked document cannot be shared for collaboration until unlocked.
• Locked documents are not included in Auto Backup.

Set up Password Protection

1. Open the Goodnotes menu in Library view.
2. Select Settings > Document Privacy > “Set up Password Protection”.
3. Enter the password twice.
4. Add a secure hint.
5. Enable Face ID or Touch ID if supported, then confirm.

Lock a notebook or whiteboard

1. Open the document and select More (…), or open its Library item menu.
2. Select Add Lock.
3. Enter the password.

Open a locked document

1. Open the document.
2. Use Face ID or Touch ID if enabled, or enter the password.
3. After three incorrect entries, the hint appears on the fourth attempt.

By default, the document relocks two minutes after you leave Goodnotes or lock the device.

Remove a lock

1. Open the document and select More (…), or open its Library item menu.
2. Select Remove Lock.
3. Enter the password.

Export, sync, and back up

• An exported file does not retain the Goodnotes lock.
• With iCloud Sync, locks and the universal password remain across supported Apple devices.
• Auto Backup excludes locked documents; use iCloud Sync or export a secure copy.
• Before deleting your account, remove every lock or you may lose access.

If you forget the password

1. Try the hint.
2. If enabled, use Face ID or Touch ID.
3. Open Password Protection settings and change the password.

If biometrics are unavailable and you cannot remember the password, locked documents cannot be opened.
